Project Portal - 18 - Set up New User. Explain roles and access rights

Add new User


The Portal Administrator has the role to set up new Users.


  1. Navigate to the Users +Add section in the toolbar section, on the lefthand side of the Project Portal
  2. Add the new user's Email, First name and Last Name. Add User
  3. Click Add User


The new user is sent an introductory automated email containing a temporary password and links to access the mobile and desktop app. Further guidance on logging into the mobile app can be found here, and desktop app here.

Access Rights:

❌ Cannot view or edit surveys

❌ No access to site or asset data

❌ Cannot add or manage users

Ideal For:

Stakeholders who need visibility into project progress without editing capabilities.

 

Viewer

Overview:

Viewers can browse survey data and site information but cannot make changes.

Access Rights:

✅ View Dashboard

✅ View Sites & Buildings

✅ View Surveys

❌ Cannot edit or add data

❌ No access to user management

Ideal For:

Clients or team members who require access to completed survey results.

 

Surveyor

Overview:

Surveyors are responsible for capturing asset data on-site using the mobile app.

Access Rights:

✅ View assigned surveys

✅ Capture and upload survey data

✅ Add room images and asset details

❌ Cannot edit completed surveys

❌ No access to dashboard or user management

Ideal For:

Field staff conducting condition surveys or inspections.

 

Quality Assurance (QA)

Overview:

QA users review survey data for accuracy and consistency before final submission.

Access Rights:

✅ View and edit completed surveys

✅ Add QA notes or flags

✅ View Sites & Buildings

❌ Cannot create surveys

❌ No access to user management

Ideal For:

Team members responsible for validating survey quality and compliance.

 

Lead Surveyor

Overview:

Lead Surveyors manage survey assignments and oversee field data collection.

Access Rights:

✅ Assign surveys to Surveyors

✅ View and edit all surveys

✅ Add Sites & Buildings

✅ View Dashboard

❌ Cannot manage user roles

Ideal For:

Senior field staff coordinating survey teams and ensuring coverage.

 

Admin

Overview:

Admins have full control over the portal, including user management and configuration.

Access Rights:

✅ Add, edit, and delete users

✅ Full access to all surveys and dashboards
