Reporting: Asset Data
Asset data collected in a survey can be easily exported into Excel by following these steps:
Export asset data into Excel
- Go to Reporting > Create in the left-hand navigation bar in the project portal.
- Select the report type, click Next. The Asset Data report will provide an Excel export of all the asset data in your selected survey(s).
- Select the Site, Building & Survey you want to report on, then click Next. Selecting only the site, or building will export data for all surveys relating to that site or building.
- You can select various options using the checkboxes (see below for details), click Next.
- You will see a preview of the data, click Finish.
- The report, along with previously run reports will be displayed. Click Download to open the report in Excel.
Note: Various options are available for each survey once the Site/Building/Survey has been selected. The options are:a) Highlight changes for imported assets - produces a colour coded Excel report, showing where imported asset data has been changed.b) Include deleted assets - produces a colour coded Excel report, showing where imported asset data has been deleted.c) Consolidate surveys into a single worksheet - Combines separate surveys into a single Excel worksheet (rather than separate sheets)d) Use friendly image links - Shows image links as 'Click to open', rather than a hyperlink.
Tip: Reports can be run at Site level (all surveys relating to that site), Building level (all surveys relating to that building), or Survey level (a specific survey). Data will be exported with one survey per sheet in Excel, unless you tick the "Consolidate surveys into a single worksheet" option to combine them.
Tip: the Asset Data report can also be used for editing the live data. Simply run an Asset Data report, make changes to the data, and import it back in. See specific guidance on Editing Data for more information.Updated on: 11/11/2025
