Reissuing surveys


When surveys are set up they are either assigned to a specific surveyor, or unassigned. Only one surveyor can be assigned to a survey. Surveys can be 'reissued' to a different surveyor before, during or after a survey is complete.


Reissue

  1. Go to the View Surveys screen.
  2. Click the 3 dots to the left of the survey you wish to issue to a surveyor.
  3. Select 'Reissue'.
  4. Select the surveyor's name from the dropdown list.
  5. (Optional) you can choose to reset the room status to 'not started' by ticking the box. *See guidance below.
  6. Click 'confirm'.
  7. The survey will be issued to the surveyor, and will appear in their mobile app when connected to the internet.


Resetting room statuses

*Ticking the box to reset room statuses will mean that (if a survey has already been started or completed), the rooms that are 'in progress' or 'completed', will be reverted to 'not started'. This is useful when reissuing a completed survey to do a complete re-survey, as the surveyor will know they need to assess every room. However, if the reissue function is being used to simply edit a few assets or complete a survey started by another surveyor, it is best not to reset the room statuses so the surveyor knows which rooms have been assessed.


Note: When reissuing an 'in-progress' survey, ensure the surveyor has synced their survey beforehand. If the surveyor is working offline, and the survey is reissued to another surveyor, some data may be stranded on the original surveyor's device.


Tip: Some suggestions of where the re-issue function can be useful:Cyclical surveys - the reissue function can be used to issue the survey for annual re-surveys of the same building. Allowing existing data and images to be supplemented and amended in a quick and efficient way (this could be done by the site FM team).Multi-discipline surveys - where a fabric and M&E survey is done separately, the same survey can be reissued to provide a comprehensive and collated survey. This can avoid duplication of certain assets (e.g. automatic doors) because the surveyor can see what the previous surveyor has collected.Quality Checks - a lead surveyor can reissue a survey done by a junior surveyor, walking around the building and reviewing, editing and adding to the survey data.Shared survey - when resourcing is a challenge, and a two day survey is being conducted by two different surveyors, the reissue function allows the second surveyor to pickup where the original surveyor left off. Seamlessly working on the single survey.
