Project Portal - 09 - Editing Asset Data

Editing Asset Data

Asset data can be edited in two ways, by editing individual assets in the survey, or exporting data in Excel making changes, then importing it back in.

Editing survey data

To edit survey data:

  1. Click on the survey in the View Survey screen
  2. Select the relevant floor, room and asset
  3. Edit the asset information by making changes to the fields
  4. Click Save Asset Details
  5. A message will appear notifying that the change was successful, and the Last Updated section will be changed to show when the change occurred, and by whom.

Note: You can also edit Partial Renewals in the same way, click Partial Renewals.

Note: You can change the assigned asset type by clicking Change Asset Type, then selecting the relevant asset type from the hierarchy.

Note: You can navigate directly to an asset by inserting the Asset ID (this can be found in the data exports) into the Search Asset by ID box in the survey.

Editing via Excel

Asseticom allows for the importing of datasets for the purposes of bulk editing for quality assurance.

  1. You are able to export data for surveys with a status of In-Progress or Complete.
  2. Go to Create report, and select the Asset Data report, select the Site, Building and Survey you wish to report on.
  3. Review and make any changes to the data (see notes below on editable data), save the file.
  4. Click on Import (in the reporting section), upload the file and import the data.
  5. A summary of the changes will be displayed.
Note: Asset fields that can be edited are: Code 3, Description, Quantity, UOM, Cost, Uplift Multiplier, + Any bespoke fields added for this survey

Note: Partial Renewal fields that can be edited are: Description, Renewal Multiplier, Remaining Life, Expected Life, Reccurs.

Note: Adding new rows to the Excel data will not add assets into the database. New assets need to be created in the mobile app or desktop app. Deleting rows in the Excel data will not delete the assets in the database.

Tip Partial renewals cannot be updated on their own, their associated parent asset needs to be included as well.Tip: Avoid changing the column headers in the export data, as this will cause an error message "Your data is malformed" when you try to import it.Tip: Where a field has specific parameters (such as select, or radio field) the data must align with the options available (e.g. a condition field with options A, B, C, D must include one of those 4 options).
