Project Portal - 06 - Viewing Surveys


Viewing Surveys



Once a survey has been created, it is able to be viewed by clicking the View Surveys button in the dashboard. This will present a list of surveys that have been created in the Project.Above the survey table there is the ability to:


  • Export Survey List – by clicking the Export Survey List button
  • Filter Surveys – by clicking the Show/Hide Filters button
  • Show and hide columns within the table – **Show/Hide Column **button

The Survey Table contains the following:

  1. Actions – (click three dots) See Actions Section below for more information.
  2. Name – The name of the Survey
  3. Type – The type of Survey
  4. Status – The status of the survey
  • a. Issued – Survey issued to surveyor, but not opened on device
  • b. Not Started – Survey issued to surveyor, opened on device but no assets collected
  • c. In-Progress – Survey is underway
  • d. Complete – Survey is completed


  1. Surveyor – The assigned surveyor
  2. Last Updated – The most recent activity by the surveyor on the survey (updated in real-time)
  3. Site – The Site the Survey is allocated to
  4. Building – The Building the Survey is allocated to
  5. Assets – The Number of Assets collected
  6. Partials – The number of partial renewals collected
  7. Flags – The number of flagged assets a surveyor wishes to comment/ raise concern on
  8. Queued Uploads – The number of images held locally on a surveyor’s device which haven’t been synced to the cloud (please see Syncing Survey Data for more information on this topic).

Actions

The following can be taken with existing surveys by clicking the three dots on the left. Further information on each of these can be found below.


  1. Review - opens survey data
  2. Duplicate - creates a copy of a survey)
  3. Download - downloads form fields as json file
  4. Reissue - allocates survey to another surveyor
  5. Delete - deletes survey

Floor View


Survey Floor View

To view more detail within a survey:


  1. Click on the three dots within the action column.
  2. Click View.


In the Floor view you can see the status of each of the rooms, the size of the rooms, the count of the assets within the room and the time at which any change to the room data was last made.


Filtering

Click the filter icon on the right-hand side, this will allow you to type into the column headers to filter and find what you need. Click the X to un-filter any column.

Click the column selection icon on the right-hand side, toggle the columns on/off to tailor the view to your requirements.

Floor Level Dropdown

You will be met with a list of rooms within the survey (note: room images will appear alongside the room name if room photos have been taken). The rooms are apportioned by floor. To view the rooms within another floor, click the Floor dropdown and select the floor you wish to view. The rooms associated with the floor will be shown.


Floorplan View

To view the floorplan associated with this floor, click the View Floor Plan button (note, this button will only be available if a floorplan is available. Export Room Schedule Associated with Floor


To export the room schedule, click the Export Full Room Schedule button.


Searching for an Asset using the unique ID

To search for a specific asset, enter the ID of the asset in the Search Asset by ID search bar (asset ID can be found in the data export).


Add a New Room to Floor

To add a new room to the floor click Add a Room in the header bar of the table.

Room View



To view more detail within a Floor:


  1. Click on the three dots within the action column.
  2. Click View.


In the Room view you can see the status of each of the assets, key asset attributes, the quantity of the assets within the room and the time at which any change to the asset data was last made.

2D and 360 Room Images

To view the 2D and 360 Room Images associated with the room, click the Room Images or 360 Room Image button.


Searching for an Asset using the unique ID

To search for a specific asset, enter the ID of the asset in the Search Asset by ID search bar (asset ID can be found in the data export).


Add a New Asset to Room

To add a new asset to the room click Add an Asset.

To view more detail within a Room:


  1. Click on the three dots within the action column.
  2. Click View.

Asset Details View


In the Room view you can see the capture details for the asset, associated images, and asset details.


Capture Details


The Capture Details shows when the asset was collected and by whom.


Note: If the record is updated, additional capture information will be shown illustrating who made the change to the record, along with a timestamp of the change.


Images


The images associated with the asset are shown here. To view the image, click the thumbnail which will open a new window displaying the photograph in a larger view. To add a new image click the Add button.


Asset Details


The Asset Details section will display the data associated with the asset based on the survey set up.


Note: fields within the Asset Details section are editable and when saved, will update the record. If a record is changed, the record of the change will be timestamped in the Capture Details section.


Changing the Asset Type


To change the categorisation of an asset, click the Change Asset Type button. This will present the taxonomy in a separate window for you to be able to rename the asset.


Partial Renewals


To view the Partial Renewals associated with the Asset, click the Partial Renewal button.


Note: This button will appear as ‘Add Partial Renewal’ if the asset does not currently have a partial renewal associated with it.


Duplicating Surveys


An existing survey set up can be duplicated to save repeating survey set up steps. The survey will already be set up using the same Site, Building, Taxonomy, Form Fields, Room Schedules and Floorplans. You will need to name the duplicated survey and allocate it to a surveyor before it can be issued. To duplicate a survey:


  1. Click on the three dots within the action column.
  2. Click Duplicate.
  3. Follow the steps outlined in the New Surveys section.


Downloading Surveys

An existing survey form field set up can be downloaded and saved to your file for future use. To download the survey json file:


  1. Click on the three dots within the action column.
  2. Click Download. The .json file will automatically begin downloading.
  3. Save file to your local or shared drive (this can be imported during the set up stage)


Note: This function does not download the survey data itself (see reporting for data exports).


Reissuing Surveys


An existing survey can be ‘Reissued’ to a surveyor to allow them to add/review/edit the survey on their mobile device. The survey can be reissued to the original surveyor, or a different surveyor. The survey will retain all the assets, images and data from the original survey. This is a great function for doing a re-survey, reviewing a survey and looking for errors, or adding additional data to an existing survey.


Reissue a survey


  1. Navigate to the View Surveys screen in the Project Portal
  2. Click the three dot icon next to the relevant survey
  3. Select Reissue
  4. Select the surveyor you want to issue the survey to
  5. Decide whether you want to Reset room statuses (tick box if yes)
  6. Click Confirm


Note: Ticking the reset room status box will mean all rooms within the survey will be reset to ‘Not Started’ and the surveyor will be required to save & complete all rooms before the survey can be completed. This is useful when you want to encourage a surveyor to review the data in every room and confirm they have done so. Leaving the box unticked will retain the current status of all the rooms (Not started, In-progress or Complete).

Tip: A survey can only be reissued when in-progress or complete.Tip: Reissuing an in-progress survey will remove the survey from the current surveyor’s device and they will no longer see it. If an in-progress survey is not fully synced, then there could be data and images held locally on the current surveyor’s device which will not be available. For this reason, it is recommended that prior to reissuing in-progress surveys, the current surveyor fully syncs their survey. See Syncing Survey Data for more information.


Deleting a Survey

To delete a survey:

  1. Click on the **three dots ** within the **action **column
  2. Click delete . You will be met with the following warning:

Click Yes to confirm deletion.
