# Project Portal - QA Asset Data Imports

# QA (Quality Assurance) Asset Data Imports

Following the completion of surveys, QA checks can be undertaken and changes made in bulk to asset data. These changes can be imported to update source data.

1. Create an asset data report in Excel (this can be done at site, building or survey level and consolidated into a single worksheet.) See reporting guidance for more information.
2. Make changes to the data in Excel (e.g. spell checks, revise errors or inconsistencies between surveyors, etc)
3. Save the file. We recommend saving a version of the original data report for future reference, and saving a new version with the changes.
4. Go to 'QA Import', upload the file.
5. Click 'Next', then 'Validate'. If there are any errors in the data, these will be highlighted with an explanation. Fix any issues and re-upload. See example below:

6. Click 'Confirm' to commit the changes.
7. All changes will be applied to the source data.

|| Note: If you experience errors, click the 'type' button to filter the errors by type. You will be able to see the cause and location of the errors. Fix the errors and re-upload.

* Please note: Changes cannot be made to all columns. 

* Editable columns are: Code 0, Code 1, Code 2, Code 3, Label 0, Label 1, Label 2, Label 3, Description, Quantity, Remaining Life, Expected Life, UOM, Cost, Uplift Multiplier. Plus any bespoke fields that have been set up for the survey.

* Editable columns for Partial Renewals are: Description, UOM, Renewal Multiplier, Remaining Life, Expected Life, Recurs.

* The validation rules applied to each data field still apply. For example a condition field set up with options 'A, B, C or D' must receive one of these four options.

* Non-required values can be cleared by using the **`__CLEAR__`** keyword in the cell. (Note: Double underscore)

* To delete an asset or partial renewal, add a column header named **`Delete`** to the worksheet and set the value to `YES` on rows that you want to delete.

* Multiple surveys can be updated from a single worksheet. If the workbook contains multiple worksheets, choose the worksheet to validate on the next step.

* **Remember you can speed up the process by only importing rows of data that are known to have changes.**

| Tip: Start small to test the process before progressing with more assets. The import function overwrites the original data, so keep a copy of the original data export so that unintentional errors can be reversed.
